The tradeshow dictionary
Waitlist management is the handling of demand beyond capacity — for sold-out events, full sessions, or oversubscribed programmes — by queueing interested people and releasing places to them as cancellations and no-shows free space. Done well, it converts overflow demand into filled seats instead of losing it entirely.
Warm introduction is a connection made through a trusted intermediary — a mutual contact, an organizer's concierge team, or a platform acting on shared context — rather than an unsolicited approach. The introducer's implicit endorsement raises the response rate and starts the conversation with credibility a cold request lacks.
Wayfinding is everything that helps attendees orient themselves and get where they're going at a venue: physical signage, printed and digital maps, staff placement, and in-app navigation. Good wayfinding gets people to sessions, booths, and meetings on time; bad wayfinding quietly taxes every other metric at the event.
A webhook is an HTTP callback the platform sends when an event happens — registration created, meeting booked, application submitted — so other systems can react in near real time.
Webinar program is a scheduled series of online sessions an organizer runs between event editions to keep the audience engaged, generate leads for sponsors, and test content themes. Unlike one-off webinars, a program has a recurring cadence, an editorial calendar, and measurable goals tied back to the flagship event.
Weighted pipeline is open opportunity value multiplied by an estimated win probability at each stage, producing a probability-adjusted forecast of closed revenue or space.
White space analysis is the search for market segments no existing event serves well — sectors, regions, job functions, or formats where demand exists but supply is weak or absent. In events, it identifies where a launch, spin-off, or repositioning could own a niche before a competitor gets there first.
White-label event app is an event app built on a vendor's platform but published under the organizer's own name, icon, and branding, with no visible trace of the vendor. Attendees search the app store for the event's name and download what looks like a fully custom app, at a fraction of custom-build cost.
Win/loss analysis is a structured review of closed-won and closed-lost deals to learn why buyers chose (or rejected) the show, package, or pricing.
A winner announcement plan is the sequenced communications playbook for revealing competition results — embargoes, stage moments, press, and winner asset kits.
Workshop (events) is a hands-on session format in which a facilitator leads a limited group through practical exercises — building, drafting, solving — rather than listening to a presentation. Workshops run longer than talks, cap attendance to keep participation real, and send attendees home with something they made or a skill they practised.
